A lease calendar should reproduce document-specific dates, notice windows, delivery conditions, and evidence of service. Generic anniversary reminders can miss rights and obligations that materially change property cash flow.

Build a commercial lease calendar from the executed documents, with each date tied to its clause, trigger, responsible person, review period, and evidence of action. Track both the outside deadline and the earlier internal decision date. Counsel should interpret uncertain language and delivery requirements. A generic reminder based on lease expiration is not enough to preserve rights or perform obligations.

Lease administration is an operating function with investment consequences. A missed rent step can reduce collections; an overlooked renewal window can change the rent roll; an unfinished delivery condition can delay income; an unsupported reimbursement statement can create disputes. The calendar should connect those events to the financial model and owner decisions.

## Assemble the full document set

Collect the lease, amendments, work letters, guarantees, side agreements, commencement confirmations, notices, relevant assignments, and documented changes. Identify which version controls each provision. A lease abstract without the amendment changing an option deadline can produce the wrong calendar.

Maintain stable document references and page or section identifiers. Record the tenant entity and premises consistently with the rent roll. Have an authorized reviewer check material dates and obligations against the documents rather than merely importing a seller spreadsheet.

The historical Bionano lease includes distinct commencement, abatement, and expense-recovery provisions. It illustrates why dates can arise from different mechanisms within one agreement. [Review the filed lease](https://www.sec.gov/Archives/edgar/data/1411690/000119312518207855/d782664dex1020.htm).

## Identify triggers before calculating dates

Some dates are fixed calendar dates. Others depend on possession, completion, opening, delivery of evidence, anniversary, fiscal period, notice, or another event. Record the trigger and how it will be established. Do not replace a conditional date with the estimated commencement date simply because the latter is easier to enter.

For an unconfirmed event, calendar the follow-up needed to determine it. A signed lease may require an agreed commencement confirmation after delivery. Until resolved, label the date provisional and show the cash forecast sensitivity. Avoid presenting an estimate as an established legal date.

Read interactions among clauses. Abatement may affect base rent while other charges remain due. A delivery delay may change more than one date. Counsel should resolve interpretation; the administrator's job is to preserve the evidence and make the unresolved issue visible.

## Build a structured event register

Useful fields include property, tenant, event type, source document, clause, trigger, calculated date, calculation convention, notice window, delivery requirements, decision maker, task owner, backup, status, supporting evidence, and financial effect. Restrict sensitive information appropriately while keeping records available to authorized staff.

Separate a tenant's right from an owner's action. The landlord may need to monitor whether the tenant exercised an option rather than send a notice itself. An owner action may require partner or lender consent before it can be communicated. Build that internal lead time into the workflow.

Avoid assuming that an email, portal entry, or ordinary mail satisfies a formal notice clause. Actual documents and applicable law determine the required process. Preserve counsel's advice where interpretation is material; this guide does not prescribe universal Illinois notice procedures.

## Work a hypothetical option timeline

Assume, solely for an illustration, a lease expires December 31, 2028 and permits an option notice between twelve and nine calendar months before expiration. Under that stipulated convention, the modeled window runs from December 31, 2027 through March 31, 2028. The actual contract must establish how to calculate and deliver notice.

The owner should set internal review earlier, perhaps September 2027 in this hypothetical workflow, to evaluate tenant intentions, economics, capital, approvals, and legal interpretation. That internal date does not alter the tenant's contractual right. It gives the owner time to prepare.

Record receipt and evidence if notice arrives. Have the appropriate reviewer determine timeliness and validity rather than letting software automatically label it effective. If no notice arrives by the modeled date, seek advice before assuming the option has lapsed or offering the space elsewhere. Rights, waiver, conduct, and legal issues can require analysis beyond the calendar.

## Include financial administration events

Calendar rent escalations, free-rent endings, deposits, letters of credit, guarantees with conditions, tax and CAM statements, reconciliation review periods, audit responses, insurance evidence, and other relevant obligations. Tie changes to billing instructions and review actual collections after implementation.

Section 16 of the filed DSW lease contains specific annual maintenance reconciliation and audit procedures. The example supports tracking statement and review events; its deadlines do not apply to other leases. [Read the historical provision](https://www.sec.gov/Archives/edgar/data/1319947/000095015206009917/l23543aexv10w1.htm).

For each event, identify the supporting calculation and document package. Sending a reconciliation on time does not make its amount correct. Conversely, a correct spreadsheet that is never delivered through the required process may leave an unresolved contractual issue. Track both preparation and completion evidence.

## Link work letters to leasing cash flow

A landlord's construction and allowance duties may include design approvals, budgets, permits, access, completion, acceptance, reimbursement conditions, and dispute procedures. Place these in a project timeline as well as the lease register. Identify the party responsible for each prerequisite.

The filed Principia lease includes a detailed work-letter structure. It demonstrates that delivery obligations can be more complex than a single “tenant moves in” date. [Review the work letter](https://www.sec.gov/Archives/edgar/data/1510487/000119312518251837/d575899dex1018.htm).

For a hypothetical $100,000 allowance due after specified evidence, the owner should forecast the payment month based on the actual expected evidence and review process. Do not assume the obligation disappears because the tenant has not submitted a request yet. Track remaining commitment, expected timing, and unresolved conditions separately.

## Use software as a control, not an interpreter

A calendar system can calculate reminders and assign tasks, but it cannot safely determine ambiguous legal meaning without appropriate review. Configure fields and reminders around the documents. Test imported dates, time zones, date conventions, recurring events, permissions, and notifications.

Create multiple reminders appropriate to the event: initial review, decision deadline, preparation, final check, and completion confirmation. Avoid so many alerts that staff ignore them. Critical events need a named backup and escalation when the task remains open.

Periodically compare the register to a sample of actual leases, billing changes, and completed notices. Investigate discrepancies and correct the process, not only the individual date. A system can be perfectly consistent while repeating an incorrect template assumption across many tenants.

## Preserve evidence of action

Store the approved notice or statement, authority to send it, delivery evidence, recipient information, response, and follow-up. Distinguish drafted, approved, sent, received, disputed, and resolved status. A calendar task marked complete without supporting evidence may not establish performance.

For tenant communications, keep ordinary service correspondence separate from formal legal notices while preserving relevant records. Counsel should advise on disputes and formal action. The administrator should not improvise a remedy simply because a reminder is overdue.

When an amendment changes a date or right, update the register and preserve the prior entry with an explanation. Remove obsolete reminders from active workflows without deleting the history. Confirm any related billing, forecast, and marketing changes so the updated agreement is reflected across systems.

## Manage transitions and owner decisions

During acquisition or a management change, reconcile critical dates against the document set rather than assuming the outgoing calendar is complete. Review near-term events first and assign interim responsibility. A transition gap can occur even when both managers believe the other is handling a notice.

Use a monthly look-ahead for the owner covering material events over the next several quarters. Identify decisions, required approvals, potential capital, and cash implications. A renewal deadline should prompt underwriting of the tenant's alternatives and the property's exposure, not only administrative acknowledgment.

For Chicago-area assets, follow the actual lease and applicable legal advice for the property and jurisdiction. Do not infer a commercial deadline from a residential form or another city's practice. A reliable lease calendar turns executed documents into timely, evidenced actions that protect the business plan and the property's income.

## Check related documents when a deadline changes

A tenant amendment may affect the guarantee, letter of credit, insurance evidence, parking agreement, delivery scope, or lender approval. Identify connected documents and verify whether they also require action. Changing one date in the rent roll does not necessarily update these other obligations.

For a hypothetical extension from December 2028 to December 2030, confirm the new rent schedule, option provisions, security duration, landlord work, broker compensation, and any consent requirements. Do not assume the original terms simply continue unchanged. Read the executed amendment and obtain appropriate advice on its effect.

Use a controlled change process: administrator enters the revision, authorized reviewer checks it, affected teams receive the update, and the forecast reflects the economics. Retain the original source and the amendment so a future reviewer can reconstruct the sequence.

Periodically review events marked complete without evidence. A task may have been closed because someone expected another team to send a notice or because a draft was prepared. Reopen unresolved items and identify the actual completion criteria. The calendar should distinguish preparation, approval, dispatch, receipt where relevant, and final resolution rather than treating them as one click.

When an event has a material legal consequence, keep the professional interpretation with the record. Future staff should not need to infer why a date was calculated differently from a generic software setting.
